This Privacy Policy describes how CoachServ ("CoachServ", "we", "us") collects, uses and shares personal data when you use coachserv.online and the CoachServ web application (the "Service"). If you have questions, contact us at support@coachserv.online.
1. Who we are
CoachServ is a SaaS tool for coaches, trainers, tutors and service professionals to manage clients, sessions, payments, packages, booking and notifications. CoachServ is the data controller for personal data processed through the Service.
2. Data we collect
- Account data: name, email, region, language and preferred currency.
- Trainer business data that you enter about your work: clients, sessions, payments, packages, notes and measurements.
- Booking request data submitted by your clients through your public booking link.
- Telegram data if you connect the CoachServ Telegram bot (chat ID, message content required to deliver notifications).
- Payment and subscription data provided by our payment provider Paddle (subscription status, billing dates, last four digits of the card, country). We do not receive or store full card numbers.
- Technical data: device and browser information, IP address, log data, cookies, localStorage, and analytics / UTM / referrer data.
3. How we use data
- Provide, operate and improve the Service.
- Manage subscriptions, invoices and billing.
- Send transactional notifications (email, Telegram).
- Respond to customer support requests.
- Prevent fraud, abuse and secure the Service.
- Product analytics and improvement.
4. Legal basis
We process personal data based on performance of our contract with you, our legitimate interests (running and securing the Service), your consent where required (e.g. optional analytics or marketing), and compliance with legal obligations.
5. Third-party processors
- Supabase — authentication and database hosting.
- Paddle — payments, billing, invoices, applicable taxes and refunds. For international card payments Paddle acts as Merchant of Record.
- Telegram — notifications when you connect the bot.
- Hosting and infrastructure providers that run the Service.
- Analytics providers, if enabled, to measure product usage.
6. International transfers
Personal data may be processed in countries outside your country of residence, including the European Economic Area and the United States. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.
7. Data retention
We keep account data for as long as your account is active. You may request deletion of your account and associated data at any time by writing to support@coachserv.online. Some data may be retained where required by law (for example, tax or billing records held by Paddle).
8. Your rights
Depending on your jurisdiction, you may have the right to access, correct, delete, restrict or object to processing of your personal data, and to data portability. To exercise these rights, contact support@coachserv.online. You also have the right to lodge a complaint with your local data protection authority.
9. Security
We apply reasonable technical and organizational measures to protect personal data, including encryption in transit, access controls and least-privilege access to production systems. No online service can guarantee absolute security.
10. Cookies and local storage
We use essential cookies and browser localStorage to keep you signed in, remember preferences and provide the Service. We may use analytics cookies to understand product usage. You can control cookies through your browser settings.
11. Children
The Service is not intended for children under 16. If you believe a child has provided us with personal data, contact us and we will delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision.
